Updates to favorite Google Apps


It's been a while since I've added some of my favorite updates to the Google Apps suite so, in case you have not heard about these features in the past few months, check them out!

  • Google Docs Outline - it's been around for a while now, but it still impresses me. I can keep a running document easily by simply making titles or headings. This creates a search/tag menu on the left-hand side for easy access.
  • Google Slides templates - freegoogleslidestemplates.com & slidescarnival.com are my two favorites
  • Embed charts from Google Sheets in Google Slides
  • When copying a file, immediately place it in a new folder.

Google Apps Hacked: More updates for your summer! Scan & convert files with your phone!!

I love finding new uses for my favorite Google Apps. Recently, I discovered a few things I did not know that you could do:

  • Provide links for direct download (instead of linking to a file in your Drive that someone will have to download, link to the download link so it automatically downloads)
  • Scan documents with your phone and convert them to editable text in a Google Doc - yes, this is a real thing!
  • Save YouTube videos to your Google Drive!

I was still using old Forms...but why?

Recently, I was helping a teacher create a superlatives voting Form. Previously, I had used the new Google Forms, but found some of the question types weren't there or it was missing some functionality. So, I told her to just switch to the old Forms for now.

After speaking with her though, I decided to actually compare/contrast the two. And, I'm ashamed to admit that I had not realized the new Forms has caught up with the old Forms. Though I use it several times a week, I had decided to stay in the old Forms (in my school account) and in the new Forms (in my personal). But, after reviewing the two, the only substantial difference is in the view.

Here's the breakdown of the new vs. old:

The interface:

The new Google Forms certainly has a cleaner interface. It looks more friendly. However, it lacks some of the functionality of the old Forms.

Settings: 
The settings are located in different locations in the versions. In the old version, the settings appear at the top and at the very bottom. In the new, you must click the gear (a consistent tool throughout Google products) to view the settings. While this helps keep the interface cleaner, it is another click for users.

In the old Forms, you have the following options.






In the new Forms, you will see the same options, but in a different layout.



Themes:
In the old Forms, users can change fonts, font sizes, colors and, backgrounds. In the new Forms, users can add an image of their own to the header (same as old). However, it will automatically pair a solid color with it. It also does not allow for font selection and font sizing.

Questions:
The old Forms offers the following questions types.



And, the new Forms offers the following question types.


For a while, when you selected Date or Time as question types in the old Forms, you could choose to do both. For instance, if you selected Date, you could add Time to that question as well. In the new Forms, this was not an option. It is now, but it is disguised...



Otherwise, the question types are the same - only in different locations.

Responses:
This feature is definitely improved in the new Forms. Now, you can view a summary of responses (previously only accessible through the corresponding sheet) and the individual responses. Before, it only showed the responses in a spreadsheet. Now, you can see them in their Form view and print/save as PDF in that view as well. This is a huge improvement.

Add-ons:
This feature is the same in new and old. However, I find it a bit confusing. there is a button that says "add-ons" when you hover over it. These are the add-ons YOU have installed. To get more, you have to click on the three vertical dots in the far right and choose "Add-ons."



Sharing Form:
The sharing feature is nearly the exact same. The only difference is in the appearance and location. The only real difference is in viewing the live Form. In the old version, you could click on "View Live Form." This is now called "Preview."

I have finally moved both of my views to the new Google Forms. Though, I miss the editing features of the fonts in the old...

Hacking Google

Google Apps have a lot of great built-in features. However, to get the most out of it, it's useful to perform a few "hacks." For instance, when I make a Google Site, I completely bypass Google Site's built-in editor and insert Google's other products (like Docs) so the Site can run itself. It's things like this that Google does not tell us to do, but leaves it up for us to try.

I've included some of my favorite "hacks" to improve your Google experience in Google Apps Hacked.

The best of Google Apps!

When a staff member or student asks me "how can I...", I usually respond with "well, Google Apps can..." The fact is that Google Apps is the answer for most problems.

Today, I share a few new uses to some of my favorite tools.

  • feUse Google Slides as a student newletter
  • Create image masks in Google Slides for a professional look
  • And...my new favorite feature: explore graphs in Google Sheets. This used to take more steps. Now, you can view your data as charts in one simple click from your Google Sheets. This revolutionizes data for me!

Google Apps Hacked - creating documents from your bookmarks

It's a new year and time for new hacks to keep you up on your Google game. Whether your new or old to the game, I hope you will find some hacks that will improve your Googleness.

Stylin' with Google Slides

I use Google Slides every day. I create advertisements, make presentations, make Website headers, make documents, and now...I make interactive presentations.

This fall, Poll Everywhere released an add-on to Google Slides that will insert live polls into Google Slides. While I love PearDeck, many of my teachers like to create their presentations in Google Slides - not in PearDeck. If you do it that way, you are VERY limited on the number you can create. So, this is a great solution for having quizzes embedded into presentations.

The things you didn't know you could do with #gafe

Today, I was reading a blog post from +Alice Keeler. She has a fabulous idea of creating answer boxes in Google Docs. Though I have been using invisible tables for a while, I had not thought about this twist. So, check out her post!

And, if you did not notice, you can manage versions in Google Drive. Why is this awesome? Let's say you have a PDF embedded in a Website. However, you don't want to have to take it down and reload it every time you upload a new PDF. Now, you can simply click on the manage versions box in the far right and upload a new version. It will retain the same URL so you don't have to update your Website! [Mic drop]

On that same note, I've added my favorite "hacks" (including the ones above) into one presentation of the things you didn't know you didn't know Google Apps could do: Google Apps Hacked.

Google Drive Updates

There have been a ton of changes to the products within Google Apps within the past few months. Below, I've highlighted a few of my favorites. Check out Fennovation.org for all resources on Google Apps (specifically, those within Drive).

Sheets:
  • Functions:
    • Importrange: Imports a range of live data from one spreadsheet to another, while keeping the data live
    • Unique: Updates the data validation fields 


Forms:
  • Make a copy of a Form without mixing the data
  • Insert Drawings into Forms & Forms' results

Drawings:
  • Ideas:
    • Post-It Note board
    • Wire Frames

Slides:
  • Send students unique URL to each slide for more direct collaboration

Docs:
  • Hide elements within Docs that you don't want others to see

Finally, check out the the information on Google + Collections that I added to my +1 Your Google Life presentation. Though Google + is being divided into pieces, Collections is a great asset. It's the Pinterest of Google +.

More #gafe hacks! - locating files & adding events to multiple calendars

4. Google Drive: Set Auto Expiration

This tip is from Amit Agarwal.
  1. Start by making a copy of this script into your Drive.
  2. Add the URL of your shared Google Drive folder or any Google Drive file in line #3 and put expiration date in line #7 (YYYY-MM-DD HH:MM format).
  3. From File menu, choose Project Properties & select your Timezone from the dropdown.
  4. From Run menu, choose Start & authorize the auto-expiry script to run at the specified time.

7. Gmail: Manage subscriptions

Use your email address + a key word to sign up for subscriptions. Example: christyfennewald+blog@gmail.com or christyfennewald+newsletter@gmail.com. After subscribing, create an email filter for each address so messages coming to that address are routed to corresponding labels in your inbox. See here for more details.

Fenn Faves for #GAFE

I've been keeping a running presentation for each Google App for a while to document my favorite features and the ones I have learned from others. So, in the spirit of GAFE, share on and share out!

Drawings updates -

  • I discovered Joshua Pomeroy's awesome vector drawings in Google Drawings recently. And, I couldn't help but continue to share it out as an awesome tool for graphics and art classes. 
  • I discovered a great idea of creating time lapse drawings in Google Drawings from Neil Boyd. This is great for showing things like the water cycle.

Docs updates
  • I use this feature all the time, but it hadn't occurred to me until a recent Google Docs blog post to include in here. To ensure someone response to your comments in Google Docs/Presentations/Drawings/etc., you can use +and their email address in the comment. Example: +christyfennewald@gmail.com
